1. Creating Your Account

Step 1: Go to www.SeedstockPro.com and click "Try the Demo" or "Subscriber Login".
Step 2: Click "Don't have an account? Start free trial" below the login form.
Step 3: Enter your email and create a password. Click "Create Account".
Step 4: You're in! The dashboard loads with sample data so you can explore.

2. Setting Up Your Ranch

Step 1: Click "Settings" in the left sidebar.
Step 2: Fill in your Ranch Name, Owner Name, and address.
Step 3: Select your Primary Breed โ€” this auto-configures your EPDs.
Step 4: Toggle EPDs on/off using the orange buttons. Only enabled EPDs appear on animal pages.
Step 5: Set your Herd Prefix, Breed Association, and other preferences.
Step 6: Click "Save Settings" at the bottom.
We support 11 breeds: Angus, Hereford, Simmental, Red Angus, Charolais, Brahman, Brangus, Red Brangus, Beefmaster, Santa Gertrudis, and Maine Anjou.

3. Importing Existing Data

Already have herd data? Import it in 60 seconds.

Step 1: Go to seedstockpro.com/import (or click "Import Herd Data" in Settings).
Step 2: Drag and drop your file (.xlsx, .xls, or .csv).
Step 3: We auto-detect the format (AAA, CattleMax, or generic) and show a preview.
Step 4: Review the column mapping and animal count.
Step 5: Click "Import Animals." Duplicates are automatically skipped.
CattleMax imports include animals, calves, medical records, and sales โ€” all from one file. You can also upload your AAA EPD report to populate all 31 Angus EPDs.

4. Herd Inventory

Adding an Animal

Click "+ Add Animal". Fill in the Animal ID (tag number), barn name, registered name, registration number, sex, breed, date of birth, and sire/dam information. EPDs appear based on your breed settings. Click Save.

Registration # Link

When you enter a registration number, a blue "Look Up โ†—" button appears. Click it to search for that animal on the breed association's website.

Searching & Filtering

Use the search bar to find animals by ID, name, or registration number. Filter by status or sex.

Use the arrow keys to move between form fields โ€” Arrow Down or Enter moves to the next field, Arrow Up moves back.

5. Breeding Records & Preg Check

Recording a Breeding

Click "+ Add Breeding". Select the dam from your herd. Choose a sire from: Herd Bulls (your active bulls), Semen Tank (auto-fills reg #), or Type Manually. Enter the service date โ€” the due date calculates automatically. Select the method: AI, Natural Service, ET, or IVF.

Auto-Decrement

AI breedings automatically decrement the semen tank. ET/IVF breedings decrement the embryo inventory. No manual adjustment needed.

Pregnancy Check

In the breeding form, scroll to the Pregnancy Check section. Enter the check date, method (Ultrasound, Palpation, Blood Draw), and result (Pregnant, Open, Twins, Recheck). Days Bred auto-calculates from the service date. If using Ultrasound, record Fetal Sex.

Preg check results show as colored badges on breeding cards โ€” purple for Pregnant, red for Open, with days bred.

6. Semen Tank Management

Track every straw by sire, tank/canister/cane location, and cost. Click "+ Add Semen" to enter a new sire's inventory. The Dashboard shows total semen value. The Semen Inventory report shows a full breakdown with totals.

Units automatically decrement when you record AI breedings. Check the Reports module for your complete Semen Inventory with values.

7. Embryo Production & Inventory

Production Sessions

Record flush and IVF sessions with donor, sire, clinic, technician, stim protocol, collection date, freeze date, and embryo grades (Grade 1/2/3, degenerate, frozen, fresh transferred).

Inventory

Track embryo batches with quantity on hand, tank location, grade, and status. Select donors from your herd and sires from your semen tank. Quantity automatically decrements when used in ET breedings.

8. Calves & Calf Crop

Record every calf with birth weight, wean weight, 205-day adjusted weight, and sale information. Link calves to dam and sire for progeny tracking. Calf data feeds into Per Animal Profitability and Contemporary Group ratios.

9. Medical Records

Track vaccinations, dewormers, treatments, and vet visits per animal. Record product, dosage, route, administered by, cost, and next due date. Medical costs appear in Per Animal Profitability.

10. Chute-Side Processing

Start a session with the date and your name. As animals come through, search by tag or ID. Record weights, treatments, and notes with tap-based entry designed for one-handed use. All entries save to each animal's medical history automatically.

11. Per Animal Profitability

Our most powerful module. Shows revenue vs cost for every cow and bull with color-coded cards โ€” green for profitable, red for unprofitable.

Expand any animal to see three panels:

Revenue: Calf sales, direct sales, avg calf price, revenue per year.

Cost: Purchase price, semen/breeding cost, medical/vet, direct expenses, allocated overhead.

Performance: Calves produced, avg weights, conception rate, ROI, cost per pound weaned, breakeven analysis.

Sort by most profitable, least profitable, best ROI, or most calves. Export the full analysis as CSV for your CPA.

12. Expenditures & Schedule F

Track every expense with date, category, vendor, amount, and payment method. Assign expenses to specific animals (shows as direct cost in profitability) or leave as herd-wide overhead (spread across all cows). Export is organized by Schedule F categories.

13. Sales & Customers

Record every sale with buyer, price, commission, net proceeds, and transfer status. The Customer Database stores buyer contact info, farm name, and purchase history for repeat business.

14. Herd Health Scheduling

Create health protocols (annual vaccinations, deworming, etc.) with frequency and products. The system generates scheduled events. Mark events as Completed or Skipped. Overdue counts show as a badge in the sidebar.

15. Performance & Contemporary Groups

Create contemporary groups by sex, birth season, and management code. Enter weigh day data for the group. The system calculates within-herd performance ratios โ€” individual weight รท group average ร— 100. Ratios above 100 are above average. Use the Progeny Report to see any sire or dam's offspring performance across calf crops.

16. Reports & Data Export

Multiple report types: Herd Roster, Breeding Summary, Calf Crop, Semen Inventory with values, Ear Tag Generator, Chute Session summaries, and more. Every report has a CSV export button. Go to Settings โ†’ Data Export for a complete backup of all modules.

AI Sync Protocols: 7 common synchronization protocols with day-by-day schedules and product lists.

Calculators: Adjusted 205-day weight (BIF formula), 365-day weight, frame score, and gestation/due date calculator with breed-specific gestation lengths.
